Entry Requirements


Note: Entries for different mediums should be submitted on separate tapes, CD's, or DVD's. Ex. All print entries (digital) on one CD, all Commercial Entries on one DVD.

IAVA Winners Gallery Note: All Award of Excellence winners will have the opportunity to be featured in the Academy's Winners Gallery. To ensure your winning piece is featured we ask that you send in a digital file that best represents your work with each of your entries. Format and sizing requirements are below:
  • For print based entries: submit your work in either .jpg or .gif format. Maximum width:640 px
  • For screen-viewed entries: submit a screenshot of your work (film/video/web/interactive) in either .jpg or .gif format. Maximum width: 640px
  • For audio entries: submit an image that represents your work in either .jpg or .gif format. Maximum width: 640 px
  • Please include all pieces on one disc and include the entry # in the file name

PRINT

Digital Submissions
  • Entries for some Print categories must be submitted in digital format. These categories will be clearly marked during the entry process. If you feel the original piece would benefit in judging you may submit that along with your digital files.
  • Digital files do not need to be high resolution. These will not be printed. 72dpi is the preferred resolution.
  • PDF's should be optimized for the web.
  • File sizes should be kept as small as possible without compromising the image quality.
  • Print entries may be submitted as jpeg, tiff, eps or pdf files. Files should be no wider than 648 pixels. These may be sent on CD or DVD.
  • Each Campaign category entry should be listed in its own folder bearing the name of the Entry Title. Please note that a Campaign entry consists of up to 3 pieces.
  • Print entries must be submitted on one CD/DVD with the Print Entry Label (Play List) attached.
  • If the same piece is entered in more than one category, please note you must pay the entry fee for each category.
Non-Digital (original piece) Submissions
  • Please send original copies of the materials as they were produced or appeared.
  • If your entry is too large to conveniently send, an 8x10 photo or like representation of the work will suffice.
  • All non-English language entries must be accompanied by an English translation.
  • If the same piece is entered in more than one category, please note you must pay the entry fee for each category.
  • Entries will not be returned.

VIDEO

Film/Video Entry Instructions
  • Each entry must be on separate DVD, CD-Rom or USB flash drive (non-returnable). Entries from outside the USA may be submitted in the following broadcast standards: PAL, M-PAL, N-PAL, NTSC, MESECAM, or SECAM.
  • The preferred formats for media files are .mov and DVD. However, we will also accept .mpg, .avi, and .wmv. NOTE: If a digital format is not available Betacam SP or Mini DV/DVCAM will be accepted.
  • We suggest you enter a 5- to 10- minute clip that is representative of the entire piece, or you may enter a full program/film or video.
  • Each entry must have an Entry Label attached to the entry case.
  • If the same piece is entered in more than one category please note you must pay the entry fee for each category.
Commercial Entry Instructions
  • All TV commercials must be on one DVD, CD-Rom or USB flash drive (non-returnable). Entries from outside the USA may be submitted in the following broadcast standards: PAL, M-PAL, N-PAL, NTSC, MESECAM, or SECAM.
  • The preferred digital formats for media files are .mov and DVD. However, we will also accept .mpg, .avi, and .wmv. NOTE: If a digital format is not available Betacam SP or Mini DV/DVCAM will be accepted.
  • If you plan to enter more than one commercial, please put all commercials on the same reel.
  • Do not use slates or color bars between commercials. Leave five to seven seconds of black between each entry.
  • Commercial Entries should be clearly titled to match the commercial entry label (play list).
  • The commercial entry label (play list) should be attached to your tape.
  • If the same piece is entered in more than one category please note you must pay the entry fee for each category.

AUDIO

Radio Programs/News Entry Instructions
  • Each entry must be on a separate CD-ROM or DVD.
  • Each entry must have an Entry Label attached to the entry case.
  • Each entry should be submitted as WAV or MP3 files. You may submit the full program, or a 5 to 10 minute clip that is representative of the entire piece.
  • If the same piece is entered in more than one category, please note you must pay the entry fee for each category.
Radio Commercial/Promotion Entry Instructions
  • All Radio commercials must be on one CD-Rom or DVD in WAV or MP3 format.
  • Commercials should be clearly titled to match the entry label (play list).
  • Commercial Entries must be submitted on a separate CD/DVD from other entries.
  • The commercial entry label (play list) should be attached to your reel.
  • If the same piece is entered in more than one category please note you must pay the entry fee for each category.
Audio Production Entry Instructions
  • Each entry must be on a separate CD-ROM or DVD.
  • Each entry must have an Entry Label attached to the entry case.
  • Each entry should be submitted as WAV or MP3 files. You may submit the full program, or a 5 to 10 minute clip that is representative of the entire piece.
  • If the same piece is entered in more than one category, please note you must pay the entry fee for each category.

INTERACTIVE

Web Sites Entry Instructions
  • If required, provide a user name and/or password.
  • If the same piece is entered in more than one category, please note you must pay the entry fee for each category.
  • If you are only submitting website entries and they are paid for online then your entry submission is complete. If the offline payment was chosen then send a copy of your entry list with your payment.
Online Advertising and Marketing Programs Entry Instructions
  • Simply post each entry to a URL (you can use the same URL for multiple entries, but please indicate which Title corresponds to which piece). If required, provide a user name and/or password.
  • For campaign entries, please indicate which pieces correspond to the campaign.
  • If the same piece is entered in more than one category, please note you must pay the entry fee for each category
  • If you are only submitting online advertising & marketing program entries and they are paid for online then your entry submission is complete. If the offline payment was chosen then send a copy of your entry list with your payment.
Online Video Instructions
  • Simply post each entry to a URL (you can use the same URL for multiple entries, but please indicate which Title corresponds to which piece). If required, provide a user name and/or password.
  • If the same piece is entered in more than one category, please note you must pay the entry fee for each category
  • If you are only submitting online video & audio program entries and they are paid for online then your entry submission is complete. If the offline payment was chosen then send a copy of your entry list with your payment
Multimedia - Online Instructions
  • If required, provide a user name and/or password.
  • If the same piece is entered in more than one category, please note you must pay the entry fee for each category.
  • If you are only submitting website entries and they are paid for online then your entry submission is complete. If the offline payment was chosen then send a copy of your entry list with your payment.
Multimedia - (CD-ROM/DVD) Entry Instructions
  • Each entry must be on a separate CD-Rom or DVD.
  • Attach the appropriate entry label to each CD-Rom or DVD.
  • If the same piece is entered in more than one category please note you must pay the entry fee for each category.

INTEGRATED CAMPAIGNS
  • Entries must be a combination of work from at least 2 mediums
  • Entries should consist of 2-5 pieces
  • Entries should be prepared according to the instructions for each medium entered
  • Entries should be packaged together with the entry label attached

MARKETING EFFECTIVENESS
  • For your Marketing Effectiveness entry, you are given the opportunity to provide additional information to support and detail the effectiveness of your marketing efforts. When submitting your entry for consideration, we do ask that you submit all materials on a single URL that will include a Summary/Brief as well as the creative elements that were used to promote your idea or product.
  • We ask that you provide the following information as part of your Brief:
    • Background Information - (Describe the project and reasons for marketing/advertising this product)
    • Target Audience - (Demographic and Geographical information)
    • Objectives - (Specific goals and expectations for your campaign)
    • Challenges - (Obstacles and Constraints you faced, Issues that were overcome for this project)
    • Methods and Strategies - (Ways in which you achieved your outcome, including creative and media communication strategies)
    • Results - (Overall outcome and evidence that you achieved your objectives and overcame challenges)
  • Please limit your Brief to 1000 words.
  • We do require that you include your Brief as part of the URL that you are submitting for consideration.
  • If required, provide a user name and/or password.
  • If you are only submitting Marketing Effectiveness entries and they are paid for online then your entry submission is complete. If the offline payment was chosen then send a copy of your entry list with your payment.
